    Create an Experience

    Learn how to create compelling experiences that guests will love booking. This guide walks you through every step from initial setup to publishing.

    What is an Experience?

    An experience is any bookable activity, service, or amenity that you offer to guests. This could be something your hotel provides directly, or an activity offered by a local partner (provider). Experiences are what make your property unique and help guests create memorable stays.

    First-Party vs Provider Experiences

    First-party experiences are created and managed directly by your hotel. Provider experiences are submitted by local partners who you've approved. Both appear in your widget, but provider experiences require approval before going live.

    Step-by-Step Guide

    Follow these steps to create your first experience. The entire process typically takes 10-15 minutes.

    Start Creating

    Navigate to your experience creation page:

    1. Go to Dashboard → Experiences
    2. Click the Create Experience button
    3. Select which property this experience belongs to

    If you have multiple properties, make sure to select the correct one—experiences are tied to a specific property and appear only on that property's widget.

    Basic Details

    Fill in the essential information about your experience:

    • Experience Name: Clear, descriptive title (e.g., "Sunset Wine Tour of Napa Valley")
    • Category: Tour, Activity, Wellness, Food & Drink, Adventure, etc.
    • Short Description: 1-2 sentences shown in search results and listings
    • Full Description: Detailed overview shown on the experience detail page

    Highlights

    Add 3-5 bullet points that make your experience stand out:

    • • What makes this experience unique or special?
    • • What's included (equipment, refreshments, transportation)?
    • • Any exclusive access or perks?
    • • Expert guides or instructors?
    • • Awards or recognitions?

    Example highlights:

    • ✓ Visit 3 award-winning wineries
    • ✓ Includes gourmet cheese pairing
    • ✓ Small groups (max 8 people)
    • ✓ Sommelier-led tastings

    Photos

    Upload high-quality images that showcase your experience:

    • Upload at least 3 photos (we recommend 5-8)
    • First photo becomes the cover image shown in listings
    • Supported formats: JPG, PNG, WebP
    • Minimum resolution: 1200x800 pixels

    Drag and drop to reorder photos. The first image will be used as the thumbnail in search results and the booking widget.

    Pricing

    Set your pricing structure:

    • Price per person or per booking (for private experiences)
    • Select your currency (defaults to your organization setting)
    • Optional: Group discounts (e.g., 10% off for 4+ guests)

    Clearly state what's included in the price—guests appreciate transparency. If there are additional costs (equipment rental, gratuity), mention them in the description.

    Duration & Capacity

    Define the time and group size parameters:

    • Duration: How long the experience takes (e.g., 2 hours, half-day)
    • Minimum guests: Required to run the experience (often 1-2)
    • Maximum guests: Capacity limit per time slot

    The system automatically prevents overbooking by tracking available spots per time slot.

    Availability

    Configure when guests can book:

    • Weekly schedule: Set recurring days and times (e.g., Mon-Fri at 9am, 2pm)
    • Blocked dates: Mark specific dates as unavailable (holidays, maintenance)
    • Lead time: How far in advance guests must book (e.g., 24 hours)
    • Booking window: How far ahead guests can book (e.g., 90 days)

    Policies

    Set expectations and requirements:

    • Cancellation policy: Full refund cutoff, partial refund options
    • Requirements: Age restrictions, fitness level, skill requirements
    • What to bring: Comfortable shoes, sunscreen, ID, etc.

    Clear policies reduce cancellations and ensure guests arrive prepared for a great experience.

    Writing Great Descriptions

    Your description is often the deciding factor for guests. Here's how to write copy that converts browsers into bookers.

    Do This

    • ✓ Start with what makes it special
    • ✓ Use sensory language (taste, see, feel)
    • ✓ Mention specific details (times, locations)
    • ✓ Include social proof if available
    • ✓ Address common questions upfront
    • ✓ Use bullet points for scanability

    ✕Avoid This

    • ✕ Generic, vague descriptions
    • ✕ All caps or excessive punctuation!!!
    • ✕ Copying competitor descriptions
    • ✕ Making promises you can't keep
    • ✕ Walls of text without formatting
    • ✕ Forgetting to proofread

    Include relevant keywords naturally in your description to help guests find your experience:

    Technical Tips

    • Use natural lighting whenever possible
    • Minimum 1200x800 pixels resolution
    • Landscape orientation works best for covers
    • Keep file sizes under 5MB each

    Content Tips

    • Show people enjoying the experience
    • Capture the setting and atmosphere
    • Avoid generic stock photos if possible

    Once you've filled in all the details, you're ready to publish.

    Not ready yet? Save your progress and come back later. Drafts are not visible to guests.

    Preview

    See exactly how your experience will appear to guests before making it live.

    Publish

    Go live! Your experience will immediately appear in your booking widget and be available for booking.

    Edit Anytime

    Published experiences can be edited at any time. Changes take effect immediately. If you need to temporarily hide an experience, you can pause it without deleting it—all your settings and data will be preserved.
